About the Role

The Executive Assistant will be responsible for a variety of administrative tasks and the support of the German team, including the organisation of internal and external meetings and events, planning and booking of business travel, coordination of the IT and office management. The Executive Assistant will work very closely with the German management team and with the EA’s across our EMEA wide offices. This is a 12 month fixed term contract for a maternity cover position.

Key Responsibilities

  • Internal meeting management – arrange meetings and co-ordinate diaries effectively taking into account nature of meetings and their priority.
  • External meeting management – liaise with clients to obtain/provide all necessary information and requirements, co-ordinate diaries, arrange meetings, organise travel and hotel bookings, and schedule itineraries.
  • Prepare agendas, take notes/actions, circulate and chase action points for appropriate meetings.
  • Assist with co-ordination of special events as and when required (includes managing client lists, co-ordinating travel and communicating event details.
  • Liaise with EA’s across EMEA
  • Manage and action emails and other incoming correspondence
  • Arrange external away days and events (includes team building, strategy days etc.).
  • Coordinate IT support and office management for our office in Munich including all regulatory requirements
  • Process T&E expenses as well as invoices related to the IT and office management
     

Person Specification

  • A strong team player as well as good self-motivation skills
  • Exceptional time management & organisation skills
  • Capable of working well under pressure and to tight deadlines
  • Great communication skills
  • Great accuracy and attention to detail
     

Essential Knowledge / Skills

  • Very good knowledge of MS Office (Outlook, Word, Powerpoint, Excel, Teams)
  • Excellent German and English language skills (fluent in writing and verbal skills)
